Additional ticket delivery options

Over the past few years the e-ticket has become the industry standard for customers booking their tickets online. They've proved a hugely successful and reliable means of issuing tickets for events.

But e-tickets are not always convenient for those customers who might not have immediate access to a printer to print their tickets.

From 1st February, we'll be introducing an additional delivery option for customers to receive their tickets by standard post. The new option will be available for online bookings made up to 72 hours before the event. In addition to those customers without a readily available printer, the thermal tickets are also a perfect choice for customers wanting to pass them on as a gift to friends or family. The standard post delivery option will cost an additional £1.50 per transaction.

We'll also be improving our existing delivery option of the mobile ticket by dual sending the ticket as an MMS picture message with a confirmation barcode and SMS text message to the customer's mobile phone to ensure its safe delivery. The updated mobile ticket delivery option will cost £0.50 per booking.

As always, you'll be able to retain full control over which delivery options are available to your customers via your TicketSource account. You'll be able to specify your ticket delivery option preferences by selecting the 'Event Settings | General Event Settings" menu option.

Account settlements

From 1st February 2012, we will be discontinuing the option to settle ticket monies by cheque.

All event organisers will soon benefit from ticket monies being electronically transferred directly to their nominated bank account, the safest way to ensure that you receive your ticket monies as quickly as possible following an event.

If you've not already supplied details of your nominated bank account then you can do so by logging in to your TicketSource account and clicking the 'Account Settings | Payment Details' menu option.

We regularly receive constructive feedback and positive suggestions from many event organisers which all helps contribute towards the evolution of the TicketSource service and web site.

We're now taking things a step further by making the process fully interactive and more open by adding a 'feedback' link which can be found at the bottom of the page in your TicketSource account.

By clicking the feedback link, you can see which new features other event organisers would like to see added to the TicketSource web site, you can add your vote in support of an existing feature request or even provide your own enhancement suggestion.

Our friendly team of support staff will be monitoring the feedback and frequently adding their own comments on the viability and status of each suggestion.

TicketSource Express for Android

TicketSource Express provides event organisers with a fast and effective way of validating tickets on the door at their events by scanning the unique barcode shown on each e-ticket or mobile ticket.

Voucher Codes revamp

The TicketSource box office provides a Voucher Code feature which enables event organisers to add their own promotional discount codes to be offered to customers when booking tickets for their forthcoming events.

We have further enhanced the Voucher Code feature to allow a voucher code to be used on a limited number of occasions.

A useful side effect of being able to limit the number of times a voucher code can be used is that single-use voucher codes can be created and provided to individual customers. The single-use voucher code opens up the possibility to event organisers of creating gift vouchers or even credit notes (e.g. £5.00 discounted from the customer's purchase when the single-use voucher code is entered during checkout)

To support the idea of a gift voucher or credit note, a second enhancement has been introduced enabling a voucher code to be linked to any forthcoming event (not just a specific event) hosted by the event organiser.

These powerful additions also provide the event organiser with an ability to set up any number of voucher codes for ad-hoc discounts on in-house bookings (e.g. voucher code BOXOFFICE1 might be used for a discount of £1.00 per ticket on any in-house booking)

Changes to Mobile Ticketing

From Monday 18th July 2011, customers opting to receive mobile tickets will automatically receive their mobile tickets via MMS picture message (complete with a scannable barcode), at a cost of 25p per booking.

If you'd prefer your customers to receive their optional mobile ticket via SMS text message at a cost of 25p per booking, or not to have the option to receive mobile tickets at all, you'll be able to modify your preferences in your TicketSource account, in the 'Event Settings | General Event Settings' menu option from Monday 18th July 2011 onwards.

Maximised marketing for your current event

We've recently expanded our Customer Export feature, enabling you to target those customers who've not already booked tickets for your current event.

When using the Customer Export feature ("Customer | Export Customers' Details" menu option in your TicketSource account) to retrieve your customer database, select the "Export customers' details for all events" option, select the "exclude customers who have already booked for" option, choosing your current event from the drop-down list and click "export details".

The export file (in CSV or Excel format) will provide you with a current snap shot of all those customers who've booked with you previously but have yet to buy tickets for your current event... a perfect marketing opportunity to let those customers know that they can buy their tickets online from TicketSource!

Event cancellations

As Spring arrives, the harsh Winter seems nothing more than a distant memory. The relentless weather over the Christmas period forced many event organisers to cancel events due to the extereme conditions.

Whatever the reason, we won't ever make a fuss over a cancelled event and unlike some of our competitors, we'll ensure that your customers who've paid online are treated fairly and receive a full refund including the booking fee, to their credit or debit card along with an email notifying them of the event cancellation. And as always, there will be no cost to you!

All we ask is that you notify us of any event cancellation as soon as possible using the "Event Settings | Cancel a Current Event" menu option in your TicketSource account.

Front of House sheet

For greater clarity, we've changed the description of the "Ticket Bookings" sheet to the "Front of House" sheet.

The "Front of House" sheet can be used to manually reconcile bookings as customers arrive at your venue and includes details such as the customer's name and unique booking reference, their chosen tickets and seats (where applicable) along with any additional notes you've recorded against the booking.

Have you ever found yourself in the position where you need to ask the customer an additional question when they're booking tickets for your event? "What are the names of the people attending the event?", "Please specify any special dietary requirements", "What is your membership number?" etc.

Now you can! We've introduced a free-format additional question and answer feature which you can optionally specify when adding a new event listing. The response simply appears under the additional notes on the customer's booking.

Seating Plan Designer update

We've been beavering away over the past month to improve the flexibility available in our seating plan designer. The latest update to the TicketSource web site includes two major improvements to seating plan creation.

Individual sections can now be rotated, accommodating "arena style" or "in-the-round" seating plans with ease. When designing your seating plan layout, simply click the rotate arrows to rotate any section clockwise or anti-clockwise in 15 degree increments.

You can now also set the scale of your seating plan from small to medium or large to suit your venue.

UK VAT changes

The UK government announced in the Summer budget that they will be increasing the UK Value Added Tax (VAT) rate from 17.5% to 20% on 4 January 2011.

The TicketSource booking fee (applied to customers who book online and pay by debit or credit card) includes the VAT element of the booking fee. We will continue to absorb VAT within the booking fee and there will be no change to our booking fees following the VAT rate increase.

Event promoters who are registered for VAT will remain responsible for accounting for any applicable VAT on their own ticket prices.

Re-send booking confirmation emails

As event promoters use the TicketSource web site ever more frequently, a longer list of past event listings is starting to accumulate on their accounts, making drop-down event selection lists in ticket sales reports, event run summaries and so on, large and cumbersome.

We've now introduced the option to archive old event listings, hiding them from display in drop-down event selection lists. The archived event listings can be easily toggled by selecting the "Event Settings | Archive Old Event Listings" menu option in your TicketSource account.

One login to access multiple accounts

We've released a feature which now allows you to use a single email address and password to access multiple TicketSource accounts.

Having set up your accounts using the same email address and password, you'll be prompted to choose one of your accounts whenever you log in. You can also subsequently switch between accounts quickly and easily by clicking the "User Account:" menu in your TicketSource account and selecting one of your accounts from the drop-down menu.

TicketSource events now listed automatically on Ents24

TicketSource and Ents24 have teamed up to enable even the smallest event or venue to sell tickets online via the UK's largest "What's On" website.

TicketSource is a free online box office system which enables event organisers and venues of any size to sell tickets online by simply adding a 'Buy Tickets' link from their own website or Facebook page.

Ents24 operates the largest "What's On" guide in the UK.

Thanks to the integration of the two systems, every event with tickets for sale on TicketSource.co.uk will also now be listed automatically on Ents24.com. Each Ents24 listing incorporates a 'Buy Tickets' button so customers can buy online immediately, rather than having to wait and phone when the box office is open.

TicketSource marketing director Alex McLauchlan said of the deal:

"By integrating the TicketSource and Ents24 systems we have created another great way for event organisers of all sizes to punch above their weight when it comes to promoting themselves online. TicketSource users already have the facility to post event details with a 'Buy Tickets' link to their Facebook page or Twitter feed – but now even events staged in a pub or church hall will appear in the Ents24 listings alongside A-list acts playing in the largest of theatres and concert venues in the area."

"Buy tickets" web links

Having a "buy tickets" button on your web site is becoming key to selling more tickets for your next event. Increasingly, customers' expectations are to have an option to buy their tickets for an event online, any time of the day or night, hassle-free.

We've now introduced a much-requested feature which provides you with the HTML code required to provide your own "buy tickets" link from your web site to your event listings page on the TicketSource web site.

Use the "Event Settings | Show a Current Event Listing's Web Links" menu option and select your event. Click the [show html] option and copy and paste the displayed HTML code in to your own web site. There are currently three sizes or "buy tickets" buttons to choose from or you could replace the image with one of your own!

When passwords become pointless...

Nowadays, it seems that just about every service you access on the Internet or over the telephone requires a password to retrieve your account details and transaction particulars. While passwords are convenient and entirely necessary to secure access to your bank account or social networking profile on a day-to-day basis, it seems much less relevant to offer retrieval of previously stored account details by password when making a ticket purchase, something you might do just a couple of times a year...

To this end, we've simplified the ticket booking process by removing the option to retrieve your previously stored account details by password when making a new booking.

From now on, you'll simply be asked to enter your last name, postcode and house number. If we find a match from a previous booking, we'll retrieve your name and address in full (although we won't retrieve your previously entered email address or telephone number, maintaining compliance with the Data Protection Act)

The result is one less password to remember when booking tickets and a faster booking process!*

* We'll email you a password if you do want to log in to your account area to view details of previous bookings or re-print an e-ticket for a current booking.

Thermal ticket printing is on its way!

We've recently started work on a thermal ticket printing solution, much like the ones already available to theatres and larger venues which we hope to make available to TicketSource users later this year. The Citizen CLP-521 is our current thermal printer of choice for its reliability and relatively modest cost.

With e-tickets and mobile tickets already available on the web site, customers will soon have the broadest range of ticket options available with the addition of the more traditional thermal ticket.

Adobe Acrobat Reader issues

We're aware of a few isolated cases where the web browser crashes after viewing any documents which require Acrobat Reader (booking confirmation letter, bookings notification sheet, seating plan sheet etc.)

The issue relates to an older version of Acrobat Reader being installed. To avoid the problem, we would advise users to install the latest version of Acrobat Reader from the Adobe web site (http://get.adobe.com/uk/reader/)

One of the most requested features on the TicketSource web site has been the ability to exchange tickets from one date to another.

Following several months in development, we're pleased to announce that our ticket exchange feature is now available.

To exchange an existing booking from one date to another, click the "Customer| Find an Existing Customer" menu option from your TicketSource account, search and select the customer. The "exchange" option can be found under the "Customer Bookings" tab.

Export customers' details

We've updated the Customer Export feature to reduce the amount of customer duplication in the export file. Customer records with matching first name, last name and postcodes are now consolidated in to a single row in the export file. Thanks to Ben Champness of the Phoenix Theatre, Ross-on-Wye for prompting us to take action on this one.

At the same time, we've also added a few extra export options to exclude customers who've not supplied a correspondence address, an email address or a contact telephone number.

Customer tracking with TicketSource and Google Analytics

Google Analytics offers a powerful marketing tool to track visitors to a web site, providing statistics on those customers who convert their visit to a completed sale and those that leave the web site without completing a transaction. Google Analytics can track and identify visitors from all referring web sites including your own web site, search engines, display advertising and email marketing.

As a result, we've been working hard to unleash Google Analytics' powerful functionality in the ticket sales process of the TicketSource web site.

To activate customer tracking on your TicketSource account, click the "Event Settings | General Event Settings" menu option from your TicketSource account, tick the "Enable Google Analytics tracking on box office web pages" option and provide us with your Google Analytics UA tracking code.

Non-public price categories

You are now able to add price categories which are available only to users of your TicketSource event promoter account, a useful feature which allows you to set up private price categories that are not available to the public.

To set a price category as non-public, untick the "Price Category available to the Public" option when you add a new or modify an existing price category.

2 for 1 tickets

We're occasionally asked how you can offer 2 for 1 tickets using TicketSource so we thought we'd share the following tip!

Create a new price category and give it a description, something like "Tickets (2 for 1 offer)"
Set the price category's price to the cost of one ticket
Set the price category as a "Group ticket" that will admit "2"

The same method can also be used for group discounts e.g. 10 tickets for the price of 9.

Export customers' details

Following lots of positive customer feedback, we've introduced a much more flexible export tool which allows you to access your customers' contact details in a range of file formats. The enhanced feature provides you with a unique opportunity to use the information captured on the TicketSource web site to let your past customers know about your forthcoming events!

To access the export tool, click the "Customer | Export Customers' Details" menu option from your TicketSource account.

Voucher code discounts

You can now offer voucher code discounts to customers on your current event listings. Incentivise new customers through advertising campaigns or provide special offers to your most valued customers by providing them with a voucher code to enter when buying tickets for your events.

Discounts can be set on a per booking or per ticket category basis with options for a percentage or flat amount discount. Voucher code preferences are available from the "Event Settings | Voucher Code Settings" menu option in your TicketSource account.

New booking fee preference

A new booking fee preference has been added. "Booking fee flat rate per ticket" allows you to specify a flat rate booking fee per ticket and absorb the remainder of the booking fee. Booking fee preferences are available from the "Event Settings | Booking Fee Settings" menu option in your TicketSource account.

Customer enquiry emails to nominated user accounts

You can now set the communication preferences on your TicketSource account to determine which users should receive customer enquiry emails. Thanks to Jonathan Sadie at Pump House CYT for suggesting this one.
